Google user data

Open Leads, a product of The Open Companies, Inc., lets each user connect their own Google account. This section explains what Google user data Open Leads accesses, and how we use, store, share, protect, keep and delete it. We only ask for the access a feature needs, and only after the user chooses to connect.

What we access

  • Google Calendar (Settings > Apps & API > Calendar & Contacts): Open Leads creates an “OpenLeads Tasks” calendar in the user’s account and keeps it in step with their Open Leads tasks. Moving an event there moves the task’s due time in Open Leads. If the user turns it on, Open Leads also reads events on their main calendar to find meetings where one of their leads is a guest. For those meetings it reads the title, the start and end time, and the guests’ email addresses.
  • Google Contacts: if the user turns it on, the leads assigned to them are saved in an “OpenLeads” contact label and kept up to date.
  • Gmail (Gmail Connect): Open Leads sends the emails the user writes in Open Leads from their own Gmail address. It asks for send-only access, and never reads, stores or searches the user’s inbox.
  • Basic profile: the user’s name, email address and profile picture, to show which Google account is connected.

How we use it

Google user data is used only to provide these features to the user who connected it. It is never sold, never used for advertising, never used for credit or lending decisions, and never used to develop, improve or train AI or machine learning models. People at Open Leads do not read it, except with the user’s permission for support, for security reasons, or where the law requires it.

What we store

  • The access tokens Google gives us.
  • The link between each task and its calendar event, and between each lead and its contact.
  • For a meeting found on the user’s main calendar: a Meeting task on that lead, with the meeting’s title and time, and a note in the lead’s history.
  • For Gmail Connect: the connected Gmail address, name and profile picture.

Who we share it with

We do not sell, rent or trade Google user data, and we do not share it with advertisers, data brokers or other third parties. It is disclosed only:

  • to Google, to carry out what the user asked for, such as creating an event, saving a contact or sending an email;
  • to other users of the same Open Leads account who can see that lead: a meeting added to a lead as a task is part of that lead’s record, the same as any other task;
  • to the company that hosts our servers, which stores the data for us under contract and may not use it for anything else;
  • to another app, only when the user connects that app and chooses to send that data to it (for example, through Zapier);
  • when the law requires it, such as a court order;
  • to a buyer or successor if Open Leads is merged or sold, who must keep protecting the data under this policy.

How we protect it

  • All data moves over encrypted connections (HTTPS/TLS), both between the user’s browser and Open Leads and between Open Leads and Google.
  • Access tokens are encrypted in our database. They are only ever used on our servers, and are never sent to the browser or shown to anyone, including the user.
  • We ask Google only for the access each feature needs. For example, Gmail is send-only.
  • Only authorized Open Leads staff can reach our servers and databases, and only for running and supporting the service.

How long we keep it, and how to delete it

A user can disconnect Google at any time from their Google Account at myaccount.google.com/permissions, or in Open Leads:

  • Calendar & Contacts: Settings > Apps & API > Calendar & Contacts.
  • Gmail Connect: the Email page under My Account.

We keep tokens and links only while the account is connected. When the user disconnects, Open Leads stops all access straight away and deletes their tokens and links. For Gmail, it also tells Google to cancel the access. The “OpenLeads Tasks” calendar and “OpenLeads” contacts stay in the user’s Google account for them to keep or delete. Meeting tasks added to leads stay in Open Leads as part of those lead records until the user or their account deletes them. To have any Google user data we hold deleted, call us at 1-800-587-2030 and we will delete it within 30 days.

Open Leads’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
